Welcome to the Privacy Policy of iSPACE ΙΔΙΩΤΙΚΗ ΚΕΦΑΛΑΙΟΥΧΙΚΗ ΕΤΑΙΡΙΑ (iSPACE I.K.E.). We respect your privacy and are deeply committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website, use our AI Assistant, or access our 3D Virtual Tours, and tell you about your privacy rights and how the law protects you.
Our core philosophy is "Privacy by Design". We only collect data that is absolutely necessary for the functioning of our services. If we don't need it, we don't collect it.
Under the General Data Protection Regulation (GDPR), the legal responsibilities vary depending on whose data is being processed:
3.1 End-User Anonymity: By default, our AI Assistant does not collect Personally Identifiable Information (PII). When an end-user chats with the AI, the chat logs are completely anonymous. We do not collect, track, or store IP addresses, geographic addresses, or names of the end-users.
3.2 Legal Basis for Processing: We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
We will only retain your personal data for as long as reasonably necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.
To provide intelligent responses, iSPACE utilizes third-party Enterprise Application Programming Interfaces (APIs), including OpenAI, Google Gemini (including Google Search Grounding for live, public information), and various Weather APIs.
Strict Zero-Training Policy: We have established strict enterprise agreements with these providers. It is explicitly guaranteed that the chat logs, user queries, and any internal business documents you upload to the iSPACE Panel are NOT used to train the public foundation models of OpenAI, Google, or any other provider. Your proprietary data remains completely segregated and secure.
iSPACE does not sell, rent, or trade personal data to data brokers or marketing agencies. Data is only shared with our strictly vetted Sub-processors (such as AWS for hosting and OpenAI for text generation) exclusively for delivering the functionality of our platform.
International Transfers: Whenever we transfer your personal data out of the European Economic Area (EEA), we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented: We use specific contracts approved by the European Commission known as Standard Contractual Clauses (SCCs), or we ensure the provider is certified under the EU-US Data Privacy Framework.
In accordance with Article 22 of the GDPR, you have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you.
iSPACE confirms that our AI Assistant operates strictly as an informational and customer support tool. It does not perform automated decision-making or profiling that produces legal effects or similarly significantly affects the end-user (e.g., it does not automatically decline service or perform credit scoring).
Our platform and B2B services are not intended for children. Furthermore, the AI widget deployed on our Clients' websites is directed at adult consumers.
In accordance with Article 21 of the Greek Law 4624/2019, the processing of personal data of a minor, when offering information society services directly to them, is lawful only if the minor has reached the age of 15 years. We do not knowingly collect data relating to children under this age limit.
We have put in place appropriate technical and organizational security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way. All data is encrypted in transit using industry-standard TLS/SSL protocols.
Our primary infrastructure is hosted securely on Amazon Web Services (AWS) within the European Union (EU), ensuring robust compliance with European data localization standards.
Bot Protection & Spam Prevention: To protect our forms and digital communication channels against automated abuse, malicious scripts, and spam bots without visual friction for our visitors, we employ Cloudflare Turnstile provided by Cloudflare, Inc. Turnstile evaluates minimal client-side telemetry (such as browser headers, IP addresses, and non-identifying behavioral signals) strictly for bot detection and security. It does not profile or track users across websites. All subscription payments for the iSPACE AI Assistant & Panel are processed by Stripe Payments Europe, Ltd., a certified PCI DSS Level 1 payment service provider. Card details are entered directly into Stripe's secure checkout and are never transmitted to or stored on iSPACE servers.
What we receive from Stripe: customer and subscription identifiers, billing name, company name, billing address, VAT/Tax ID (if provided), phone number, the last four digits and brand of the card, payment status and invoice history. We use this data solely to activate and manage your subscription, issue invoices, comply with tax law and prevent fraud.
Legal basis: performance of a contract (Art. 6(1)(b) GDPR) and compliance with legal obligations, e.g. tax and accounting (Art. 6(1)(c) GDPR). Billing records are retained for as long as required by Greek tax legislation (currently up to 10 years).
Businesses may connect their Facebook Page (Messenger) and/or Instagram Professional account to the iSPACE AI Assistant through the official Meta Graph API (permissions pages_show_list to list the Facebook Pages managed by the business so it can select which Page to connect, pages_manage_metadata to manage Page webhook subscriptions and settings, pages_messaging to receive and send Messenger messages on behalf of the Page, as well as instagram_business_basic and instagram_business_manage_messages for Instagram Direct). When enabled, iSPACE processes on behalf of that business (as Data Processor):
Messages are answered only within Meta's 24-hour Standard Messaging Window. We do not send promotional or unsolicited messages. All Messenger and Instagram Direct messages are subject to our Strict Zero-Training Policy: they are never used to train public AI models. Conversation history is retained for as long as the business keeps its iSPACE subscription, or until a deletion request is made.
You can request the deletion of all data iSPACE holds about your Facebook Messenger or Instagram Direct conversations at any time:
Google Sign-In: If you choose "Continue with Google", Google shares with us only your name, email address and profile picture, which we use to create and secure your iSPACE account. We do not access your Gmail, contacts or any other Google data.
Email verification (OTP): To prevent fake sign-ups, we send a 6-digit one-time code to your business email through Amazon Simple Email Service (AWS SES), hosted in the EU (Frankfurt). Codes expire within minutes and are not reused.
Security: Passwords are stored only as salted bcrypt hashes. Sessions use short-lived access tokens with secure refresh-token rotation. We also log basic, anonymous sign-up funnel events (e.g. which step was completed, device type, referring website) to improve the registration experience.
When you create an account, we store a consent record containing: the version of the Terms of Service and Privacy Policy you accepted, the date and time of acceptance, your IP address and browser user agent, your selected plan and billing cycle, your industry and the business size you declared (e.g. number of rooms or properties), and whether you opted in to marketing communications.
Why: to demonstrate your acceptance of our terms and the basis of your pricing (Art. 6(1)(b) and (f) GDPR, and Art. 7(1) GDPR for consent). These details are also attached to your subscription in Stripe and summarised in your confirmation email.
Retention: for the duration of your subscription and up to 5 years after it ends, to establish, exercise or defend legal claims. Marketing consent is optional and can be withdrawn at any time via the unsubscribe link or by emailing info@i-space.gr.
